Core Responsibilities and Duties
The person selected for this position will support the Embassy's operations across several domains, including administration, finance, and event coordination.
1. Secretariat and Accounting Management
- Handle all aspects of daily secretariat operations, including accounting records using Microsoft Excel.
- Support accurate data entry, liquidity management, and payment tracking for Embassy operations.
2. Administrative Coordination
- Maintain and manage the official agendas of Embassy staff.
- Handle all written communication and correspondence with a high level of accuracy and diplomacy.
- Ensure proper filing and archiving of all Embassy-related documents, both digital and physical.
3. Diplomatic Liaison and Networking
- Coordinate with other Embassies, UN agencies, and the African Union to arrange bilateral meetings, events, and visits.
- Ensure timely and efficient communication and follow-up on official matters.
4. Financial Oversight
- Monitor Embassy payments, manage maintenance contracts, and oversee financial matters related to residences of expatriate staff.
- Assist in the preparation of financial reports, audits, and budget forecasts.
5. Event Planning and Support
- Organize and support official Embassy events, both within and outside the Embassy premises.
- Assist in coordinating logistics for incoming official visits, including hotel bookings, transportation, and event schedules.
6. Administrative Support to Embassy Staff
- Provide support to Embassy team members on matters such as diplomatic identification, driving license processing, and other administrative requirements linked to life in Ethiopia.
